Table Extraction QA: Reliable PDF to Spreadsheet Data

If your PDF-to-Excel export “usually works,” you still have a data-quality problem. Usually working is how you ship subtle errors: misaligned rows, mislabeled columns, and numbers that import as text.

This checklist is designed for spreadsheet outcomes. Run it after extraction, before analysis.

QA checklist (quick and repeatable)

1) Column mapping and header quality

Pass criteria:

  • There is exactly one header row you can use.
  • Column names are unambiguous (no duplicate identical headers without meaning).
  • Units are captured in header names when they matter.

2) Row alignment

Pass criteria:

  • Each row contains one record.
  • No shifted cells (values did not jump columns).
  • No missing rows in the middle.

How to test quickly:

  1. Select 10 rows across the sheet (top, middle, bottom).
  2. Validate that each column value matches the PDF row.

3) Type checks (numbers and dates)

In Excel:

  • Sum a numeric column. If it fails, values are text.
  • Sort by date. If sorting is wrong, date fields are strings.

4) Totals cross-check (when available)

If the PDF includes a total row or summary figure:

  • Compare the export total vs the PDF total.
  • If it differs, investigate missing rows or sign conventions.

The 4 most common reasons exports break

ReasonWhy it happensFix
Multi-level headersPDFs wrap categories across rowsNormalize headers into one clean row
Multi-page tablesPage breaks interrupt row continuityValidate row count and spot-check across pages
Footnotes and notesNotes get treated as dataExclude footer/header patterns before export
Formatting noiseCommas, currency, or symbols confuse type detectionEnforce type validation in QA

Build a QA log (so approvals are explainable)

Keep a small text log next to the export:

Run: 2026-04-27, Source: invoice_0427.pdf, Rows: 98, Columns: 7, Type check: OK, Alignment spot-check: 10/10, Totals: matched.

That log turns extraction from a guessing game into a process.

FAQ

Do I need QA if I only use the sheet for quick internal work?

Yes. Internal work is where errors get multiplied because nobody is “responsible” for data quality. QA prevents silent mistakes.

What is the minimum viable QA?

Header sanity + row alignment spot-check + one numeric type check (sum). That catches the majority of real-world failures.
